How to Schedule Instagram Posts and Reels

In the App, in Meta Business Suite, and Through a Scheduler, With the Limits of Each

1. What are the ways to schedule on Instagram?

Three: the Instagram app itself, Meta Business Suite on desktop or mobile, and a third-party scheduler that publishes through Meta's official API. They differ in formats, account requirements and daily limits.

2. How do you schedule a post or Reel in the Instagram app?

Create the post or Reel as usual, open More options, turn on Schedule this post or Schedule this reel, choose the date and time, then tap Schedule. The account must be public.

The in-app flow, as documented in the Instagram Help Center [s1]:

  1. Tap Create, then Post or Reel. Tap Create in the top left, or swipe right from the feed, and choose Post or Reel. Select the photo or video and tap Next.
  2. Write the caption and finish edits. Add the caption, effects or filters as you would for a live post. Check the caption now, since editing later means reopening the scheduled item.
  3. Open More options and turn on scheduling. Tap More options, then turn on Schedule this post or Schedule this reel and choose a date and time within the next 30 days.
  4. Tap Done, Back, then Schedule. The item moves into your scheduled content instead of publishing. It keeps the privacy and audience settings you had when you scheduled it.

To manage the queue, go to your profile, tap Menu, and under Your insights and tools tap Scheduled content. Each item offers Delete, Edit post, Reschedule or Share now [s1].

3. What does not work with a scheduled Instagram post?

Product tags, collaborative posts, sponsored (paid partnership) posts and fundraisers are not compatible with in-app scheduling. Stories cannot be scheduled from the Instagram app at all.

Instagram states the incompatible features directly [s1]. The collaborative post exclusion matters most for brands, because Collab posts with a partner are often the ones with a fixed launch time. Publish those live, or agree that the partner account publishes at the time and you accept the invitation.

Plan these outside the in-app scheduler:

  • Stories: schedule them in Meta Business Suite, which lists Stories as a schedulable content type [s3].
  • Collab posts and paid partnership labels: publish live.
  • Product tagging: publish live, and note that the publishing API does not support shopping tags either [s4].
  • Carousels over 10 items when using a scheduler: build them in the app.
  • Hashtags beyond five: the Help Center now says you can use up to 5 hashtags on a post [s6], so trim before you schedule, not after it fails.

4. When should you use Meta Business Suite instead?

Use Business Suite when you need Stories, a desktop calendar, or one Planner that holds both your Facebook Page and your Instagram account. It is also where colleagues with delegated access work.

In the Business Suite mobile app, you tap Content, choose Posts, Reels or Stories, create the item, choose Schedule for later and set the time [s3]. On desktop, Create post lets you pick the Facebook Page, the Instagram account or both, add up to 10 photos for Instagram, and schedule, with the Planner showing everything by status [s2].

Business Suite also cross-posts: the mobile guide mentions sharing to Facebook, Instagram and Threads together [s3]. That saves time, and it is also how the same caption ends up on three networks with three different audiences. Decide per post whether it should be the same.

Access is granted per person. To create posts, a colleague needs full control or content permission for the Instagram account in Business Suite [s2], which is safer than sharing the Instagram password.

5. What does a third-party scheduler add for Instagram?

A cross-channel calendar, approvals, first drafts from a brief and consistent link tracking. It works through Meta's API, so it needs a professional account and inherits the API's limits.

Meta documents that only Instagram professional accounts can publish through its API, that each account is limited to 100 API-published posts in a moving 24-hour window, that JPEG is the only supported image format, and that filters and shopping tags are not supported [s4]. No small team hits the 100-post cap. The JPEG-only rule catches people constantly, because PNG graphics from design tools are the default export.

Do I need a Business or Creator account to schedule on Instagram?

Not for the in-app scheduler, which works for any public account. You do need a professional account, Business or Creator, for third-party schedulers, because Meta only allows professional accounts to publish through its API. Switching is free in the app settings and changes which insights and tools you see.

6. What sizes and lengths should scheduled Instagram posts use?

Photos between 1.91:1 and 3:4 at 1080 pixels wide, Reels between 1.91:1 and 9:16 at 30 fps or more, and captions under 2,200 characters with no more than five hashtags.

Instagram displays photos at up to 1080 pixels wide and keeps aspect ratios between 1.91:1 and 3:4, so between 1080 x 566 and 1080 x 1440 pixels; anything outside that range is cropped [s7]. Reels can be uploaded between 1.91:1 and 9:16, at a minimum of 30 frames per second and 720 pixels [s8]. The API documents a 2,200-character caption limit [s4].

7. What should you check before a scheduled Instagram post goes live?

Confirm the account, the format route, the crop, the caption length, the hashtag count and that nothing in the post needs a feature scheduling does not support.

  1. The account is public (in-app) or professional (scheduler).
  2. The format is schedulable on the route you chose: Stories via Business Suite, big carousels in the app.
  3. The image is 1080 pixels wide, between 1.91:1 and 3:4, and exported as JPEG if a scheduler publishes it.
  4. The Reel is vertical, at least 720 pixels and 30 fps.
  5. The caption is under 2,200 characters with five hashtags or fewer.
  6. No product tags, Collab invite or paid partnership label is expected on this post.
  7. Someone is available to answer comments in the first hour after publishing.
